Job Overview
Reporting to the Head of Resources Management and the Supply Chain Officer and working together with the HR Office and Regional Legal Officer, the Administrative Associate is responsible for supporting the IOM Ethiopia country office and special liaison office on legal and protocol issues in line with IOM regulations.
Responsibilities
- Ensure that contracts are in line with Framework Agreements and IOM legal requirements; communicate with the Legal Department for any necessary issues.
- Support with legal and contractual activities such as contract terminations and complaint resolution.
- Check the accuracy of the first documents and inform them of any differences.
- Keep in contact with government authorities on legal and protocol matters, ensuring that IOM’s privileges are unaltered.
- Keep records of contracts confidential and establish a system for retrieving contract files.
- Before signing a contract, confirm with government authorities that the business license and tax documents are authentic.
- Help international staff get residency permits and be a source of information on immigration formalities.
- Keep track of passports and travel documents that were submitted to government offices and embassies.
- Be responsible for the submission of the visa application and keep the record of the visa on arrival.
- Help if there is a need for import/export clearance and vehicle registration.
- Stay current on protocol changes that affect IOM programming and inform the team.
- Carry out any other work that may be assigned to you by your supervisor.
Qualifications
Education:
- You possess a Bachelor’s degree in law, social/political science, International Relations, or a related field, along with three years of professional experience.
- Alternatively, you could be a high school graduate with five years of relevant work experience.
Experience:
- Acquaintance with laws that are applicable to the corporate and NGO sectors.
- Knowledge of legal codes, court procedures, and government regulations.
- Negotiation, communication, and document review skills are evidenced.
- Working with international organizations or NGOs in a multicultural setting is a desirable experience.
- The candidate utilizes Microsoft Office and web-based collaboration platforms.
Skills:
- EnThe candidate has strong English language skills in writing and demonstrates a keen attention to detail.
- Discrete, client-oriented, and interested in learning.
- Multilingual environment needs good communication skills.
- The ability to work harmoniously in diverse teams and the management of confidential information are skills that the person possesses.
